Privacy notice
We collect as little as we can: for the free reminders, just your first name, email address and region. We never ask for property addresses or anything about your tenants.
Last updated 20 October 2026.
Who is responsible for your data
The data controller is Landlord Checkpoint. Contact us at alasadi.dev@gmail.com.
We have paid the data protection fee to the Information Commissioner's Office (ICO); registration is being processed (application C2065114).
The postcode checker
When you check a postcode, your browser sends it straight to postcodes.io, a free postcode lookup service run by Ideal Postcodes, to find the region. The postcode is never sent to us and we do not store it. Ideal Postcodes may keep normal technical logs of the request; see their privacy policy.
The readiness checklist
If you tick items on the checklist, the ticks are saved in your own browser (local storage) so they are still there when you come back. They are never sent to us. You can clear them by clearing your browser's site data.
Free reminder emails
- What we collect: your first name, email address and the region your rental property is in. We also record when you signed up and confirmed, which version of the consent wording you agreed to, whether you also asked for emails about our paid pack, and which reminders we have sent you.
- Why: to send you the reminders you asked for: when registration opens in your region, 30 and 7 days before your deadline, and once a year before your registration is due for renewal (registrations last 12 months). If you ticked the separate optional box, we may also email you about our paid Readiness pack.
- Lawful basis: your consent (UK GDPR Article 6(1)(a)). You can withdraw it at any time with the unsubscribe link in every email, or by emailing us.
- How long we keep it: for as long as you want the reminders. Registration has to be renewed every year, so the yearly reminder carries on until you unsubscribe. If you unsubscribe, we delete your details straight away. If you do not confirm your email within 7 days of signing up, we delete them then. Every 2 years we will ask you to confirm you still want the emails, and delete your details if you do not.
Readiness pack (not on sale yet)
When the paid pack launches, we will also hold the expiry dates of your certificates (such as gas safety, EICR and EPC) so we can remind you before they run out, plus a record of your purchase. Payments will be handled by Stripe, which processes your card details under its own privacy policy; we never see your full card number. We will keep purchase records for 6 years because tax law requires it, and delete your tracker data when your 12 months end. We will update this notice before the pack goes on sale.
Who we share data with
We do not sell your data or share it for advertising. We use these service providers, who process data only on our instructions:
- Cloudflare hosts the website and the database that holds the reminder list. It keeps short-term technical logs (such as IP addresses and pages requested) for security and to fix faults.
- Brevo sends our emails. Brevo counts, anonymously, how many of our emails are opened and how many links are clicked; to do this it adds a small image to each email and routes links through its servers. We have set this to anonymous mode, so these figures are not linked to you, and we never use them to profile anyone. If you would rather avoid it, set your email app to not load images. Brevo keeps delivery logs (for example whether an email was delivered or bounced) for one month and does not store copies of the emails.
Some of these providers may process data outside the UK. Where they do, the transfer is covered by UK adequacy regulations or the UK International Data Transfer Agreement or Addendum.
Cookies
We do not use cookies, analytics or advertising trackers. The only thing we store on your device is the checklist ticks described above, which you choose to save.
Your rights
You have the right to ask for a copy of your data, to have it corrected or deleted, to restrict or object to how we use it, to get it in a portable format, and to withdraw consent. Email alasadi.dev@gmail.com and we will reply within one month.
If you are unhappy with how we handle your data, please tell us first. You can also complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
Automated decisions
We do not make any automated decisions about you that have legal or similar effects. Reminder dates are worked out from your region's published deadline.
